Moving thirty or forty people is a logistics job before it is a driving job. Headcounts change, luggage multiplies, someone's aunt needs the front seat, and the venue wants the vehicle off its driveway in ten minutes. A bus on rent with an experienced crew solves most of that in one booking. RutzIndia.com arranges 20 to 35 seat mini buses and 35 to 45 seat Volvo, Scania and Bharat Benz luxury coaches with drivers, in major cities and for outstation tours anywhere in India.
Bus on rent: fares for mini buses and luxury coaches
A mini bus on rent (20 to 35 seats) costs Rs 134.4 per km outstation, Rs 42,000 for 8 hours/80 km locally, or Rs 23,100 Pay Now to Reserve for an airport transfer. A 35 to 45 seat luxury coach costs Rs 210 per km, Rs 72,000 for 8 hours/80 km, or Rs 39,600 per airport transfer. All fares are before 5% GST.
The per-km rate is the same in every state. Local and airport packages follow a city factor, so Mumbai and Goa are roughly 10% above the base and Lucknow or Varanasi a little below. Tolls, interstate taxes where still collected, and parking are billed at the actual amount on the receipt.
| Trip | Km billed | Mini bus (Rs 134.4/km) | Luxury coach (Rs 210/km) |
|---|---|---|---|
| Local 4 hr / 40 km | package | Rs 25,200 Pay Now to Reserve | Rs 43,200 Pay Now to Reserve |
| Local 8 hr / 80 km | package | Rs 42,000 Pay Now to Reserve | Rs 72,000 Pay Now to Reserve |
| Airport transfer up to 40 km | one way | Rs 23,100 Pay Now to Reserve | Rs 39,600 Pay Now to Reserve |
| Mumbai to Pune (minimum fare applies) | 150 | Rs 25,410 Pay Now to Reserve | Rs 43,560 Pay Now to Reserve |
| Chennai to Pondicherry (minimum fare applies) | 150 | Rs 23,100 Pay Now to Reserve | Rs 39,600 Pay Now to Reserve |
| Delhi to Haridwar | 220 | Rs 29,700 Pay Now to Reserve | Rs 46,200 Pay Now to Reserve |
| Delhi to Jaipur | 280 | Rs 37,800 Pay Now to Reserve | Rs 58,800 Pay Now to Reserve |
| Delhi to Agra and back, same day | 466 | Rs 62,910 Pay Now to Reserve | Rs 97,860 Pay Now to Reserve |
| Delhi to Manali round trip, 3 days | 1,080 | Rs 1,45,800 Pay Now to Reserve | Rs 2,26,800 Pay Now to Reserve |
Spread across a full coach, the numbers are kinder than they look. Forty colleagues on a Delhi to Agra day trip in a luxury coach pay about Rs 2,450 each before GST and tolls, less than a train ticket plus two station taxis per person.

How much does it cost to hire a bus in 2026? Rates by seat size
Every bus size we book falls into one of two fare classes. The table puts seat count, per-km rate, daily minimum and crew allowance side by side, so you can compare before asking for a quote.
| Bus size | Class | Per km | Min km per day (round trip) | Minimum day fare | Crew night allowance |
|---|---|---|---|---|---|
| 20 seater | Mini bus | Rs 130 | 250 km | Rs 33,750 Pay Now to Reserve | Rs 1,500 Pay Now to Reserve |
| 27 seater | Mini bus | Rs 130 | 250 km | Rs 33,750 Pay Now to Reserve | Rs 1,500 Pay Now to Reserve |
| 35 seater | Mini bus | Rs 130 | 250 km | Rs 33,750 Pay Now to Reserve | Rs 1,500 Pay Now to Reserve |
| 41 seater | Luxury coach | Rs 210 | 250 km | Rs 52,500 Pay Now to Reserve | Rs 1,500 Pay Now to Reserve |
| 45 seater | Luxury coach | Rs 210 | 250 km | Rs 52,500 Pay Now to Reserve | Rs 1,500 Pay Now to Reserve |
A 35 seat body can come either as a standard mini coach or as a shorter luxury coach; the class, and so the rate, is stated on your quote. All buses we book are air-conditioned. One-way drops on listed routes are billed on the route distance alone, without the daily minimum.
Bus sizes explained, one by one
20 seater bus
The smallest bus we book sits just above the largest vans. Most 20 seaters have a 2+1 layout, high roofs and overhead racks, which makes them roomier than a 20 seat tempo traveller of the same capacity. They suit a two-family holiday, a small department offsite, or a cricket team with kit. In old-city areas and on hill-station approaches, a 20 seater goes where a 45 seat coach cannot. See mini bus on rent for layouts in detail.
27 seater bus
The 27 seater is the workhorse of wedding and school travel: 2+2 pushback seats, an aisle you can stand in, and space for a helper's seat near the door when one is arranged. It is long enough to carry most of a baraat but still short enough to turn into a farmhouse gate or a resort driveway. Expect overhead racks and a modest rear or underfloor space for bags.
35 seater bus
At 35 seats you choose between a long mini coach and a compact luxury coach. The mini coach version is cheaper per kilometre and nimbler in town; the luxury version brings air suspension, deeper recline and a bigger hold. For a day trip within 150 km, the mini coach is usually enough; for a three-day tour with suitcases, consider the coach.
41 seater coach
The 41 seat luxury coach is our most requested size for corporate conferences and long tours. Seats are 2+2 with generous pitch, and the underfloor hold typically takes a suitcase and a cabin bag per passenger. It is the right choice for airport arrivals of large groups, as luggage is loaded once and not touched again until the hotel.
45 seater coach
The full-size multi-axle coach, built for expressways and national highways. Ride quality is the best of any vehicle on Indian roads at this capacity, which is why tour operators use it for Golden Triangle circuits and long runs such as Mumbai to Goa. Its length limits access to some hotels and old-city lanes; our Volvo bus on rent page explains how we plan around that.

Group trip costs by bus
Totals below use route kilometres and the daily minimum, before GST, tolls, parking, state tax and crew allowance. Per-head figures assume 30 passengers in a mini bus and 40 in a coach.
| Trip | Days | Km billed | Mini bus fare | Per head (30) | Coach fare | Per head (40) |
|---|---|---|---|---|---|---|
| Mumbai to Pune, one way (minimum fare applies) | 1 | 150 | Rs 25,410 Pay Now to Reserve | Rs 850 | Rs 43,560 Pay Now to Reserve | Rs 1,090 Pay Now to Reserve |
| Hyderabad to Vijayawada, one way | 1 | 275 | Rs 37,130 Pay Now to Reserve | Rs 1,240 Pay Now to Reserve | Rs 57,750 Pay Now to Reserve | Rs 1,440 Pay Now to Reserve |
| Bangalore to Mysore and back | 1 | 290 | Rs 39,150 Pay Now to Reserve | Rs 1,310 Pay Now to Reserve | Rs 60,900 Pay Now to Reserve | Rs 1,520 Pay Now to Reserve |

| Delhi to Agra and back | 1 | 466 | Rs 62,910 Pay Now to Reserve | Rs 2,100 Pay Now to Reserve | Rs 97,860 Pay Now to Reserve | Rs 2,450 Pay Now to Reserve |
| Delhi to Haridwar and Rishikesh | 2 | 500 | Rs 67,500 Pay Now to Reserve | Rs 2,250 Pay Now to Reserve | Rs 1,05,000 Pay Now to Reserve | Rs 2,630 Pay Now to Reserve |
| Mumbai to Shirdi and Shani Shingnapur | 2 | 560 | Rs 75,600 Pay Now to Reserve | Rs 2,520 Pay Now to Reserve | Rs 1,17,600 Pay Now to Reserve | Rs 2,940 Pay Now to Reserve |
| Delhi to Jaipur with sightseeing | 2 | 620 | Rs 83,700 Pay Now to Reserve | Rs 2,790 Pay Now to Reserve | Rs 1,30,200 Pay Now to Reserve | Rs 3,250 Pay Now to Reserve |
Route guides for the drives above include Mumbai to Pune, Delhi to Agra and Bangalore to Mysore. For a first India tour, the Golden Triangle by road combines three of them.
Bus local fares by city, 2026
City packages for buses follow the same city factors as our cars. The 8 hour / 80 km package and the airport transfer are the two most booked.
| City | Mini bus 8 hr / 80 km | Mini bus airport | Coach 8 hr / 80 km | Coach airport |
|---|---|---|---|---|
| Delhi, Hyderabad, Chennai, Pune, Kochi | Rs 42,000 Pay Now to Reserve | Rs 23,100 Pay Now to Reserve | Rs 72,000 Pay Now to Reserve | Rs 39,600 Pay Now to Reserve |
| Mumbai and Goa | Rs 46,200 Pay Now to Reserve | Rs 25,410 Pay Now to Reserve | Rs 79,200 Pay Now to Reserve | Rs 43,560 Pay Now to Reserve |
| Bangalore | Rs 44,100 Pay Now to Reserve | Rs 24,250 Pay Now to Reserve | Rs 75,600 Pay Now to Reserve | Rs 41,580 Pay Now to Reserve |
| Kolkata, Jaipur, Ahmedabad, Chandigarh | Rs 39,900 Pay Now to Reserve | Rs 21,950 Pay Now to Reserve | Rs 68,400 Pay Now to Reserve | Rs 37,620 Pay Now to Reserve |
| Lucknow, Agra, Varanasi, Amritsar | Rs 38,640 Pay Now to Reserve | Rs 21,250 Pay Now to Reserve | Rs 66,240 Pay Now to Reserve | Rs 36,430 Pay Now to Reserve |
Time or distance beyond the package is billed at the extra-hour and extra-km rates on your quote. Airport transfers cover up to 40 km; longer runs add the extra kilometres.

Bus or train for a big group?
Indian Railways is excellent for long journeys, but group rail travel has friction: booking windows, split coaches, station transfers at both ends and luggage carried by hand. A chartered bus wins on journeys up to about 500 km, when the group has luggage, when there are several stops on the way, or when the destination is far from a railway station, such as hill resorts, temple towns and wedding venues on city outskirts. For very long hauls, a train for the main leg and a bus at the far end can be the best of both; we are happy to quote the destination bus only.
Seater buses, not sleepers
We book seater buses and coaches for group charters. Sleeper coaches are built for overnight scheduled services, and for private groups we would rather plan daytime travel with an overnight halt than send a crew through the night. If your group must travel overnight, tell us early; we will suggest the safest combination of timings, halts and, where needed, a second driver.
Planning timeline for a group bus
- Four to six weeks out for wedding season, Diwali, Christmas, New Year and school-trip months: send dates and an approximate head count.
- Two weeks out: confirm the bus size, pickup points and the day-by-day plan; we fix the quote in writing.
- Three days out: the free-cancellation window closes, so lock in numbers.
- The evening before: receive the bus number and driver details; share the passenger list with your coordinator.
- On the day: count heads at every stop, keep the aisle clear and use the seat belts on highways.
Buses for marathons, conferences and large events
Event transport runs on timing. For a conference, buses loop between hotels and the venue on a fixed timetable, with one coach held back for late sessions. For a marathon or cycling event, buses carry participants to a pre-dawn start and back from the finish, which calls for early crew reporting times agreed well ahead. For concerts and festivals, a designated parking area and a clear return time printed on each ticket help the group find the bus. We plan these movements with your event team and put every vehicle, timing and pickup point in one written schedule. Highway distances and toll plazas along national corridors can be checked on the NHAI website.
Mini bus, luxury coach or several vans?
Pick the vehicle by passengers, luggage and road, in that order.
- Up to 16 people: a tempo traveller on rent or a Force Urbania is cheaper per km and easier to park.
- 20 to 32 people: a mini bus on rent. It has an aisle wide enough for real movement, a luggage rack over every row and, on most bodies, a hold under the floor.
- 35 to 45 people, long distance: a Volvo bus on rent or an equivalent Scania or Bharat Benz coach, with air suspension, reclining seats and a large underfloor hold.
- Mixed groups with VIPs: a coach for the main party plus an Innova Crysta or luxury sedan for elders or guests of honour, so the bus can run to schedule while the car waits.
Two vans instead of one mini bus can make sense on narrow hill roads above Mussoorie or Manali, where a 30 seat body struggles on hairpins and some stretches restrict larger vehicles. On expressways and city loops, one bus beats two vans because the whole group arrives together.
Where buses work well, and where they do not
Coaches are at their best on the national highway network: Delhi to Jaipur, Mumbai to Pune, Bangalore to Mysore, Chennai to Pondicherry. Plan around a few local realities.
Old city centres. Chandni Chowk, the lanes around Jaipur's Johari Bazaar, Varanasi's ghat quarter and parts of South Mumbai are not bus country. Your coach parks at the edge and the group walks or takes e-rickshaws in. We mark those drop points on the itinerary so nobody is surprised.
The Taj Mahal. Petrol and diesel vehicles stop at designated parking outside the protected zone, and visitors continue by battery bus or on foot. Allow 30 to 40 extra minutes each way for this shuttle when timing a group visit.
Peak-hour and no-entry windows. Some cities limit heavy vehicles on certain roads at rush hour. Tourist coaches with permits normally move freely, but the driver chooses routes to avoid restricted stretches, and we pad morning pickups by 15 minutes in Bangalore, Mumbai and Gurgaon traffic.
Hills. Mini buses handle Shimla, Mussoorie and Nainital routes with a patient driver. For Rohtang, Spiti or the upper Char Dham roads, vans are usually the safer choice.
Permits, safety and what the crew does
Every bus we book is registered as a tourist vehicle, and interstate journeys run on an All India Tourist Permit issued under central rules; you can look up how tourist permits work on the Parivahan portal of the transport ministry. Commercial buses carry fitness certificates and the operator's passenger cover, which a privately owned bus rented informally does not.
A helper can be arranged on request to load luggage, keep the aisle clear and assist at fuel stops. On routes over about 10 hours of driving, we plan an overnight halt or a second driver rather than asking one person to push on. Seat belts are fitted on most modern coach seats; please ask your group to use them on the highway.
Buses and coaches supplied are within four model years of manufacture. If your event relies on a particular chassis, such as a multi-axle Volvo for a long tour, say so when you book and we confirm the model and registration in writing. For background on the coaches themselves, Volvo Buses India publishes its current range.
Common bookings: weddings, schools, pilgrims, offices
Weddings. Baraat transport from the groom's hotel, guest loops between hotels and the venue, and station or airport pickups over two or three days. In the November to February season, Saturdays in Delhi NCR, Jaipur and Udaipur book out early. Combine the coach with decorated cars from our wedding car rental service.
Schools and colleges. Day excursions and multi-day study tours. We share driver and vehicle documents in advance for the school's file, and a helper can be arranged on request to stay with the bus while students are away.
Pilgrim groups. Haridwar and Rishikesh, Vrindavan, Shirdi, Tirupati, Vaishno Devi base at Katra. For Kedarnath and Badrinath, read our Char Dham yatra planning page first; mountain sections favour smaller vehicles.
Corporate events. Offsites, dealer meets, factory visits and conference shuttles. We issue GST invoices in the company's name and can bill monthly for repeat movements; see corporate car rental for the account set-up.
Worked example: a three-day school tour from Pune
A Pune school takes 38 students and 4 teachers on a study tour to Mumbai's museums and Nashik's heritage sites, then home. The school books a 45 seat coach.
| Day | Route | Approx km |
|---|---|---|
| 1 | Pune to Mumbai, CSMVS museum, Gateway of India, Nehru Science Centre | 190 |
| 2 | Mumbai to Nashik, Pandavleni caves, Godavari ghats | 180 |
| 3 | Nashik to Pune via a stop at a dam or agricultural research farm | 215 |
Driven total: about 585 km. Three-day minimum: 750 km, so 750 km is billed at Rs 210, which is Rs 1,57,500 Pay Now to Reserve. Add two crew night allowances at Rs 1,500, expressway tolls, city parking, and 5% GST. For 42 travellers, the coach costs about Rs 3,750 per head for three days before those extras. In a 35 seat mini bus (if the group were smaller), the same 750 km would be Rs 1,01,250 Pay Now to Reserve.
Pilgrimage circuits by bus
Temple towns see some of the largest group movements in India, and a chartered bus is often the simplest way for a community group or housing society to travel together.
- Shirdi and Shani Shingnapur from Mumbai or Pune: two days with an overnight near the Sai Baba temple, timed for the morning aarti.
- Mathura and Vrindavan from Delhi: a long day with an early start; buses park at designated lots and pilgrims walk into the temple lanes.
- Haridwar and Rishikesh from Delhi: the evening Ganga aarti at Har Ki Pauri is the highlight; avoid Kanwar Yatra weeks in July, when the highway is diverted.
- Tirupati from Chennai or Bangalore: plan around your darshan slot and the rules for vehicles going up the ghat road to Tirumala, which the temple administration sets.
- Vaishno Devi base at Katra from Jammu: short bus transfer, then the pilgrimage on foot or by the services at the base.
For car-based temple trips and dress-code notes, see our pilgrimage taxi guide.
Who does what on the day
The crew: reports before time with a clean, cooled bus; loads and unloads the hold (with a helper where one is arranged); pays tolls, parking and any border tax against receipts; takes rest breaks at planned stops; and keeps the vehicle secure while the group is away.
The group organiser: holds the passenger list and counts heads at every stop; shares pickup points and the day plan with the driver in the morning; decides on route changes with the desk rather than directly on the highway; and keeps an emergency contact list for passengers.
Our desk: confirms the vehicle and driver the evening before, stays reachable on WhatsApp through the trip, and updates the fare in writing if the plan changes.
Weather and seasons for bus travel
Winter fog (December to January, north India): early mornings on the Delhi-Agra, Delhi-Jaipur and Delhi-Chandigarh highways can be slow. Leaving after sunrise often saves time overall. Monsoon (June to September): the Mumbai-Pune ghat section and the Konkan get heavy rain; buses run, but schedules need slack. Summer (April to June): AC matters most; start early and rest through the afternoon on long plains drives. Festival peaks: Diwali, Durga Puja in Kolkata, Ganeshotsav in Mumbai and Pune, and Christmas-New Year in Goa bring closures and heavy traffic around processions and beaches.
Travelling with elderly or less mobile passengers
Bus steps are higher than car doors. For groups with elders, ask for a coach with a lower first step or carry a portable step; seat elders near the front door; plan stops at fuel stations or restaurants with accessible washrooms; and add an Innova Crysta to the booking for anyone who would find a bus uncomfortable, so the whole group still travels on one schedule.
Comparing bus quotes fairly
Bus quotes vary widely, and the headline number rarely tells the whole story. Before you compare, put every quote on the same basis.
- Daily minimum: is it 250 km, 300 km or more per day? On a relaxed three-day trip this alone can swing the fare by thousands of rupees.
- Class of bus: a 35 seat luxury coach and a 35 seat mini coach are different vehicles. Ask for the make, the seat layout and a photo.
- Age of the vehicle: we supply buses within four model years; older buses may be cheaper but with tired AC and suspension.
- What is extra: tolls, parking, state border tax, GST and crew allowance should each be listed. A quote that is silent on them will add them later.
- Overtime: ask for the extra-hour and extra-km rates in writing, especially for weddings and events that run late.
- Permit: confirm that the bus is a registered tourist vehicle with a valid permit for every state on your route.
Daily staff buses for companies and campuses
Beyond one-off trips, companies hire buses by the month for shift commutes: a fixed route, fixed pickup points and the same driver each day. These contracts are priced on route length, shifts and days per month rather than on the tourist per-km rate, and invoiced monthly with GST. Our employee transport services page explains route planning, and larger organisations often combine buses for main routes with tempo travellers for low-density pickups.
Large airport arrivals
When forty delegates or wedding guests land together, the arrivals plan matters as much as the bus. We track the flights, place a coordinator with a name board at the exit, and hold the coach in the commercial pickup area. International arrivals get 60 minutes of free waiting and domestic arrivals 30 minutes; if the group lands on several flights, we can run the bus on a schedule or add a smaller van for stragglers. Luggage goes straight into the hold, and the group heads to the hotel together.
Buses for sports teams, clubs and residents' associations
Cricket and football teams travelling to tournaments, cycling clubs heading to a ride start, trekking groups going to a trailhead and housing societies planning an annual picnic all have something in common: a fixed group, gear to carry and a schedule that starts early. A 20 or 27 seat bus holds the squad and the kit bags; a 35 seater or coach suits a society outing with families. Tell us about equipment such as bicycles, drums or sound systems when you book, because not every bus has a hold large enough, and some items need to travel in a separate small goods vehicle.
Residents' associations often collect money per head. Our quote shows the total, and you can divide it however suits the group; an itemised invoice after the trip, with receipts for tolls and parking, makes the accounts easy to close.
How booking, payment and cancellation work
Send us dates, pickup points, head count and a rough plan through the booking form or on WhatsApp. We reply with a written quote listing the vehicle class, seat count, kilometres or package, and exactly what is included. Pay the advance by card or UPI through the booker; the balance is settled at the end of the trip. Round-trip outstation billing uses the greater of actual kilometres or 250 km per calendar day, and the crew's night allowance of Rs 1,500 per night is itemised on multi-day tours.
Airport groups get flight tracking and a name board at arrivals, with 60 minutes free waiting for international flights and 30 minutes for domestic, after which waiting is charged by the hour.
Cancellations follow our standard cancellation policy: free if more than 72 hours before pickup, 10% within 72 hours, 50% within 48 hours, and 100% within 24 hours or if the group does not show.
Worked example: a two-day coach tour from Delhi
Here is how a real quote comes together for a 40-person office group doing Delhi to Jaipur and back over a weekend in a luxury coach.
- Distance. Delhi to Jaipur is about 280 km each way, plus roughly 60 km of sightseeing around Amer Fort, the City Palace and Hawa Mahal, giving about 620 km.
- Minimum check. Two calendar days at 250 km per day is 500 km, so the actual 620 km is billed.
- Base fare. 620 km at Rs 210 per km is Rs 1,30,200.
- Crew allowance. One night at Rs 1,500 Pay Now to Reserve.
- At actual cost. Expressway tolls, Rajasthan entry tax if collected at the border, and monument parking.
- Tax. 5% GST on the fare.
Per person that is a little over Rs 3,250 Pay Now to Reserve before GST and tolls for two days of door-to-door coach travel. The same trip in a 32 seat mini bus would be 620 km at Rs 130, or Rs 83,700 Pay Now to Reserve. Swap the destination and the maths is identical: route kilometres, compared with the daily minimum, multiplied by the class rate.
A checklist for the group organiser
The smoothest group trips we see share a few habits.
- One contact person who holds the passenger list and speaks to the driver; ten people calling the crew about pickup points causes delays.
- Named pickup points with Google Maps pins, sent a day ahead. Bus drivers cannot enter every housing society lane, so choose a main-road gate.
- Luggage count. Tell us if bags are large; a 45 seat coach hold is generous, but wedding trunks and sound equipment still need planning.
- Meal stops agreed in advance. On the Delhi to Jaipur highway, on the Mumbai to Pune expressway food courts and on the Bangalore to Mysore road there are established stops that accept coaches; your driver knows which have bus parking.
- Buffer time. Add 30 minutes for every 20 people boarding at a single point. Headcounts always take longer than anyone expects.
- Documents. For foreign nationals on the group, carry passports at hotels and monuments; for school groups, carry the permission letter and a list with emergency contacts.
When to book a bus
Book two to four weeks ahead for wedding dates, Diwali and New Year, the Durga Puja week in Kolkata and the first weeks of the Char Dham season in May. School tour season in December and January also tightens supply. Outside those windows, a week's notice is comfortable, and in the big metros we can often turn a request round within 48 hours. Regional peaks matter too: Onam brings family travel across Kerala, Pongal and Sankranti fill southern highways in January, and Navratri garba nights keep Gujarat buses busy after dark. For ideas on destinations worth a group tour, the official Incredible India site is a good place to start, and our tours section has ready itineraries.
